When you place an order or create a client account
To provide hosting, email, or domain services, we collect the following information through our billing system:

- Phone number

- Company name (if applicable)
- Postal code
This information is used to set up and manage your account, generate invoices, communicate with you about your services, and comply with domain registration requirements where applicable.
When you contact us
If you reach out via WhatsApp, email, or our support ticket system, we collect the contact details and content of that conversation in order to assist you.
When you use our website
Our website (xeces.com) uses Google Tag Manager to manage analytics and, where applicable, advertising tags. This may include cookies set by Google Analytics and Meta (Facebook) Pixel, used to understand how visitors use our site and to measure the effectiveness of our marketing. Typical cookies set by these tools include:

Our billing portal (the client area at my.xeces.com) uses the following cookies strictly to make it function:

These cookies are functional and necessary for the client portal to work. We do not currently use the WHMCS affiliate/referral cookie, but this policy will be updated if that feature is activated in future.

We use the information collected to:
- Set up, provision, and manage your hosting, email, or domain services
- Generate invoices and process billing
- Communicate with you about your account, renewals, or support requests
- Respond to support requests via WhatsApp, email, or ticket
- Comply with domain registry requirements where you register or transfer a domain through us

3. How We Share Your Information
We do not sell your personal information. We share it only in the following circumstances:
- Domain registrars: if you register or transfer a domain through XECES, the required contact details are shared with the relevant registrar (and, where applicable, published in WHOIS records unless WHOIS privacy is enabled).
- Upstream hosting provider: basic account details necessary to provision your hosting or email account are processed through our upstream infrastructure provider.
- Legal requirements: if required by law, court order, or to protect the rights, safety, or property of XECES or others.
- Analytics and advertising tools: Google Analytics and, where applicable, Meta (Facebook) Pixel receive limited browsing data (such as pages visited and general device/location information) through the cookies described above, governed by their own respective privacy policies.
We do not sell your information to advertisers or data brokers, and we do not otherwise share it for third-party marketing beyond the analytics and advertising tools described above.
4. Data Retention
We retain your account information for as long as your account remains active, and for a reasonable period afterward as required for our accounting, billing, and legal record-keeping obligations. If you would like your data removed after your account has been closed and all applicable retention obligations have passed, contact us and we will assist.
5. Data Security
We take reasonable technical and organizational measures to protect your information, including access controls on our billing system and encrypted connections (HTTPS) across our website and client portal. No system can be guaranteed 100% secure, but we continuously review our practices to reduce risk.

You may request to:
- Access the personal information we hold about you
- Correct inaccurate information on your account
- Request deletion of your information, subject to legal and accounting retention requirements
